We are sure 99% of you didn’t know this news! Unless you are a pro in Tech! It’s time to start managing your privacy on GMail. Here’s why. As of October 10, 2025 onwards, Google uses your personal information on email and attachments to streamline AI content and search. This can potentially lead to privacy breaches. Instead of panicking, here’s what you can do. It was automatically turned on and all you need to do is if you want - turn it off.
Note that users can manage or turn off these features at any time:
For Individuals:
1. In Gmail (Web browser):
1. Click the Settings gear icon (⚙️) and select See all settings.
2. Under the General tab, scroll to "Smart features and personalization" and uncheck the box to turn off data usage for smart features across Gmail, Chat, and Meet.
3. Users can also individually disable "Smart Reply," "Smart Compose," and "Nudges" in the same section.
4. Scroll to the bottom and click Save Changes.
2. In Gmail (Mobile app):
1. Tap the Menu (three horizontal lines), then Settings.
2. Select your account and scroll to the "General" section.
3. Look for "Smart features and personalization" or individual feature toggles and adjust your preferences.
For Google Workspace
A super administrator can control these settings for all users in the organization:
1. Sign in to the Google Admin console (admin.google.com) using a super administrator account.
2. Go to Menu (☰) > Account > Account settings > Smart features for Google Workspace.
3. Choose to:
1. Don't set a default experience: This allows users to control their own settings (as described in the individual user steps above).
2. Set a default: This lets you turn the features on or off by default for all users in your domain. Select the relevant options to turn them off.
4. To manage Generative AI features (like "Help me write" or Gemini access specifically), navigate to Generative AI (or Apps > Google Workspace > Settings for Gmail > User settings) and adjust the service status to OFF for everyone.
5. Save changes. It may take up to 24 hours for changes to apply across all user accounts.
For broader AI activity:
Manage your Gemini Apps Activity in your Google Account settings to pause activity logging or delete conversation history.
Don't forget to hit "Save Changes" at the bottom of all of them. These simple steps should keep you tension free!
